Submitting your Lot & Line Items Follow
The last step in bidding on a sourcing event is submitting your bid lots, the financial portion of your proposal.
- Once you have logged in to Conductiv® and navigated to the Negotiate module, select the sourcing event you are bidding on.
- Then click the Lots tab.
QUICK TIP: Lot & Line Item information is not collected in an RFI, so the Lots tab will not appear in an RFI card. The Lots tab will also not appear if the customer has chosen to collect pricing via the Documents or Terms tab and not utilize the Lots function for their RFP or RFQ.
If the Lots tab is not present, skip to the end of this article for a link to information about submitting your completed proposal.
Download the Template
To begin, you will need to download the Lot & Line Item template provided by the customer. You will find this near the bottom of the Lots screen.
Click "Download the Lot & Line Item template" to download the file to your computer.
Complete the Lot & Line Item template
To complete the template, open the file on your computer and add your pricing for each line item in the Unit Price column.
- You should only fill out the last two columns in the document: No Bid (if applicable) and Unit Price.
- See our Lot & Line Item Template Guide for Suppliers for detailed guidance on how to complete the template and a downloadable reference sheet.
Multiple Scenarios
- If there are multiple scenarios in the sourcing event, you will see a description of each scenario on the Lots tab. For example, you might see a Single-Source Award scenario and a Multiple-Source Award scenario.
- You will need create a separate Lot & Line document with adjusted pricing for each scenario you would like to bid on.
Bundled and No Additional Cost Items
- If there is an item that you would like to offer at no additional cost, or that is bundled with another line item you offer, enter FALSE under the "No Bid" column and then enter a Unit Price of zero.
Note: If you do not want to bid on a line item, you must enter TRUE in the "No Bid" column. An item with no price that does not indicate TRUE in the "No Bid" column will be considered offered for free.
File Format
- When you are finished entering your pricing, save your file as a .csv on your computer.
Submit your Lots & Lines
When you are ready to upload your pricing, return to the Lots tab of the RFx event card in the Conductiv Platform.
Upload your File
- If there are multiple scenarios, click on the first scenario you would like to bid on.
- Click "Find file..."
- Navigate to your completed and saved pricing document on your computer, select the file, and click Open.
- The title of the file you have selected for uploading will now be displayed on the Lots tab, below the "Find file..." button.
- Click Import Pricing. Your file will then be uploaded to the Platform. (This may take a few moments.) A green "Upload complete" box will display on your screen when the file has been uploaded successfully.
Review your Submission
- Once your pricing has been imported, you will then see updated figures with the total number of items you are bidding on and the total unit price for your bid for that scenario. This will be displayed at the bottom of the page, so you may need to scroll down.
- To review your pricing for a lot, click on the grey bar for that lot.
This will expand a box with pricing details. You can click the grey header bar again to collapse the details.
- Click any additional lots to view the rest of your pricing details.
- A "Download your latest version" link will also appear. Click this link to download your submission if you need to revise your bid or review your submitted pricing.
- If you need to make a correction or edit your pricing before submitting, make your updates and re-save your document on your computer. Click the "Find file..." button to locate the updated file, and then click Reimport Pricing.
Additional Scenarios
- If you are bidding on multiple scenarios, click each scenario on which you would like to bid. Repeat the process described above to upload your pricing for each additional scenario and review the pricing you have submitted.
